Terms for clubs
These are the terms on which a club uses Braidwood Sports. They include, in section 8, the terms on which we handle your members' personal data for you. Last updated 22 October 2026.
1. Who these terms are between
They are between Braidwood Digital Ltd, trading as Braidwood Sports, a company registered in Northern Ireland (company number NI744374) with its registered office at 92 Castle Street, Office 2094, Belfast BT1 1HE ("we", "us") and the club that signs up ("you", "the club"). A club accepts them by ticking the box on the start-a-club form, or by using the service after we have set the club up. The person who accepts must be entitled to do so for the club.
2. What we provide
A way for a club to run its memberships and collect payments: join requests and approvals, members and households, card payments through Stripe, reminders and messages by WhatsApp and email, My membership for members, and, as an extra, Last One Standing. We work to keep the service available and to fix faults quickly, but we cannot promise it will never be interrupted.
3. Fees and payments
- Plan: £19 a month or £190 a year, for the whole club, with unlimited members under fair use (a club that passes 1,000 members gets a quick check from our support team). We will tell you before billing of the plan begins, and at least 30 days before any price changes.
- Paying for the plan. The plan is paid in advance through Stripe, a whole month or a whole year at a time, from the day an Admin sets up the plan payment. Each payment is for that whole month or year, which is the shortest term, and no part of a payment is refunded, including when the club pauses, switches plan or cancels. A switch between Monthly and Yearly starts when the time already paid for runs out.
- If a plan payment is not made. For a club that pays for its plan (a club that signs itself up, or one we have told that billing of its plan is beginning), the club's Admins can use the admin area only when the plan payment is set up and paid. If a card payment is declined or a Direct Debit fails, we email the club's main admin with a link to pay, and until it is paid the club's Admins can open only the plan payment page (and take their members list, or cancel). Members' payments, My membership, the join page and Last One Standing carry on. If a payment can no longer be collected, the club sets up its plan payment again.
- Payment fee: 3.4% plus 20p on each membership payment taken by card. It includes Stripe's own card fees. The club pays it, out of the payment the club receives. It is never added to what a member pays.
- Last One Standing: £20 per game, with no limit on entries, paid by card. The price is for unlocking the game software. Braidwood Sports does not collect, hold or take any share of entry money or prize funds.
- Stripe. Members' card payments go through Stripe Connect to the club's own Stripe account. The club must accept Stripe's terms and complete Stripe's checks. We never hold the club's money. Stripe is the record of what was paid.
- Refunds, disputes and failed payments. If a payment is refunded, disputed or taken back by a bank, the amount is taken back from the club, and so is any bank fee Stripe charges for it. Our 3.4% + 20p fee on a refunded payment is not returned. If the club owes us money from a loss like this, we may take it from the club's later payments, and we show the club every such entry on screen.
- If the club cannot cover a loss. If the club owes us money from a loss like this and has no later payments to take it from, or has left, the club must pay us that amount within 30 days of our asking. We will tell the club the amount and the reason.
- Holding back and pausing payouts. To protect members and ourselves, we may ask Stripe to delay a club's payouts, hold back part of its payments as a reserve, or pause its payouts, for example while we look into a dispute, unusual activity, or a club that seems to have stopped running. We will tell the club what we have done and why, and release the money once the reason has gone.
4. Free games and free months
- Every club gets one free Last One Standing game, when its account is opened. It is given once only and for good: it does not come round again, and no plan includes another. It is for the club only, has no cash value and cannot be passed on. A club that closes its account and opens another, or opens a second account for the same club, does not get another. We keep a permanent record of this so that we can tell.
- We may give a club extra free games or free months, for example to put something right. They are credit, not cash, and may have an expiry date that we tell you.
5. What the club is responsible for
- Giving us true details, and keeping sign-in details private. Each admin is a named person with their own email address and mobile number.
- Only signing up, or adding, people it is entitled to. If an adult signs up a child, they are saying they are the child's parent or guardian, or are otherwise allowed to.
- Only messaging people who have agreed to be messaged, and stopping when someone says STOP.
- Dealing with its own members: who may join, what they pay, and what happens to their money. We provide the tools; the club makes the decisions.
- Providing what members have paid for. A member's membership is with the club, not with Braidwood Sports. A club must provide what its members pay for, deal with their complaints, and refund anyone who is owed a refund. A club must not take payments for something it does not intend to provide.
- Members who leave. A member is responsible for cancelling their own membership. We remind the club before a season restarts so it can check its list and remove anyone who has gone, and the club should do so. If a member who has left is charged because they did not cancel and nobody removed them, the club deals with that member and refunds them if it is owed, as in section 3.
- Not using the service for anything unlawful, to send spam, or to try to get round a limit or a rule in these terms.
6. Last One Standing
Braidwood Sports provides this tool solely for tracking fixtures and member predictions. Braidwood Sports does not facilitate, collect, or hold entry stakes or prize funds.
If a club runs a game for a prize, the club is responsible for making sure that is lawful where it is, and for any money that changes hands between the club and its players.
7. Leaving, and ending the service
- A club can leave at any time by telling us. Collection of its members' payments stops when its account is closed, so the club should tell its members first.
- Before it leaves, a club can download its member list and use the export for each person. After it leaves we keep only what the law or these terms say (section 8.9).
- We may suspend or close an account for a serious breach of these terms, for abuse, or if the law or Stripe requires it. We will tell you why and, unless it is urgent, give you the chance to put it right.
7.1 Pausing instead of leaving.
- Pausing the club. A club can pause its account between seasons instead of leaving. An Admin chooses a restart date, up to 12 months ahead, or restarts it by hand. If a club is paused with no restart date for 12 months, its account is cancelled, and we email its Admins a month before.
- Seasons. A club can set up its seasons and choose, for each membership type, whether it pauses or keeps going between seasons. When a season ends, the memberships of a type that pauses are paused until the next season starts, and no payment is taken for them in that time. When the next season starts they restart on their usual payment days, and nothing is charged for the months they were paused. If every type of the club pauses, the whole club is paused until the next season starts. A club can resume early.
- Yearly memberships cannot be paused. They are paid once a year, so there is nothing to pause, and they stay active all year.
- The club plan while the club is paused. On the Monthly plan, while the whole club is paused, no plan payment is taken. The paid days the club had left when it paused are kept, and are used first when it resumes; then the plan carries on a month at a time from that day. The Yearly plan is paid a year at a time and carries on while the club is paused, as a yearly membership does. While any membership type keeps going, the club plan carries on as normal. A club that sets a season of 8 months and pauses for the other 4 pays for the 8. Pausing does not refund anything already paid.
- What a paused club can do. While the whole club is paused, its Admins can sign in only to resume the club, download the member list, and look at the account page to hand over the main admin role or cancel. Everything else in the admin area waits until the club resumes. Members' My membership pages and the club's join page carry on, and a Last One Standing game the club has already unlocked keeps running for its players; to manage a game, the club must resume.
- Reminders. Before a season ends or restarts, we email the club's Admins, and we email paused members before they restart, with their first payment date and amount. A paused member with WhatsApp and no email address gets one WhatsApp message instead, a week before. These are to help; they do not change what the club or its members have agreed to.
8. Your members' personal data
For most of the personal data in the service, the club decides why and how it is used, so the club is the "controller" and Braidwood Sports is its "processor". (For the details of club admins, enquiries and our own website, we are the controller: see our privacy notice.) This section is the agreement between controller and processor that the UK GDPR and the Irish GDPR require.
8.1 What we process.
- Subject matter and purpose: running the club's memberships, payments, messages and games.
- Duration: for as long as the club uses the service, then as in 8.9.
- Types of data: names, email addresses, mobile numbers, membership and payment records, Last One Standing entries and picks, messages sent and received, and sign-in records. We never ask for dates of birth, and we do not hold card numbers or bank details: Stripe does.
- People: the club's members, people who pay for members, people who play Last One Standing, and the club's admins and managers. Some members are children.
8.2 Instructions. We process this data only to provide the service and on the club's instructions, which are these terms and what the club's admins do in the service. If we think an instruction breaks the law, we will say so.
8.3 Confidentiality. Everyone at Braidwood Sports who can see the data is bound to keep it confidential and has it only as far as needed to run and support the service.
8.4 Security. We use measures suited to the risk, including: every request checked against the signed-in person's own club, so one club can never see another's data; sign-in by emailed code, with limits and lockouts; important actions recorded in an audit log; data encrypted in transit; and card details kept only by Stripe. Our privacy notice describes them in more detail.
8.5 Sub-processors. The club agrees to us using these to provide the service: Cloudflare (hosting and database), Stripe (payments), Meta (WhatsApp messages), Amazon Web Services (email), Brevo (email, only when Amazon cannot send), and an AI service provider (reading a member list a club uploads, tidying a club's crest picture, and answering help questions from our help pages; today this is Anthropic). Football-data.org supplies fixtures and receives no personal data. We have a written agreement with each, we stay responsible for them, and we will tell clubs by email at least 30 days before adding or replacing one. A club that objects may leave.
8.6 Transfers outside the UK and the EEA. Some providers process data outside the UK and the EEA. Where they do, we rely on a safeguard the law accepts, such as the UK or EU standard contractual clauses or an adequacy decision.
8.7 Helping with people's rights. A club can, in the service, export everything it holds about one person and remove that person's personal details. If someone asks us directly, we pass the request to the club, and we will help the club answer it within one month.
8.8 Breaches. If we become aware of a personal data breach affecting the club's data, we will tell the club without undue delay, and aim to do so within 48 hours, with what we know and what we are doing about it.
8.9 When the club leaves. When a club tells us it is leaving, its account stays open for 30 days so that its admins can export what they need (the members list, and the data held about each person). We then close the account, or sooner if the club asks. Closing deletes nothing: nobody at the club can sign in any more, and card payments stop. Ninety days after the account is closed, our daily clean-up removes the personal details of the club's members, admins and other people (names, email addresses, mobile numbers and children's details); a very large club can take a few days longer. For 24 months after closing we keep the rest of the club's records (its plan, games, payment history and audit log), because disputes, refunds, chargebacks and accounting questions can arrive months later, and then we delete them. We keep two things for longer: a coded record that stops the club being given a second free game, which holds no readable personal details and is never deleted, and the payment, refund and fee records in our own accounts, without names, which we keep for at least 6 years because tax rules require it. Back-up copies, if there are any, are kept only until they expire. At any time, a person can also ask for their own details to be erased (section 8.7), and a club's data is not deleted when one person is erased.
8.10 Proving we comply. We will give the club the information it reasonably needs to show that we comply with this section, and allow reasonable checks, with notice, that do not put other clubs' data at risk.
9. Our responsibility to you
Nothing in these terms limits liability that the law does not allow to be limited, including for fraud, or for death or personal injury caused by negligence. Subject to that: we are not liable for loss of profit, loss of members, or other indirect loss; we are not liable for faults in services we depend on (Stripe, Meta, your bank, the internet) beyond passing on what they give us; we are not responsible for what a club provides to its members, or for how a club handles its members' money, refunds or complaints; and our total liability to a club for anything arising in a year is limited to the fees the club paid us in that year.
10. Changes to these terms
We may change these terms. For a change that matters to the club we will email the club's admins at least 30 days before it applies. If the club does not agree, it can leave before then.
11. The law, and problems
These terms are governed by the law of [England and Wales, or Northern Ireland, or Ireland: to be chosen before launch], and its courts can decide any dispute. If something goes wrong, please write to support@braidwoodsports.com first. We will answer within five working days.
