Getting started

What is Braidwood Sports?

Braidwood Sports is a membership and payments platform for grassroots sports clubs in the UK. Clubs are our customers. Club admins run members, payments and Last One Standing in a mobile-first admin app. Members mostly use WhatsApp plus a simple My membership page, and players join through their club’s own join page.

How do I get my club set up?

Use Start a club. It takes a couple of minutes: your club, its first membership and you as its first Admin are made the moment you press Create my club. We email you a six-digit code: enter it to confirm your email, and your club goes live and you are signed in. You can attach your player list (a Word, Excel, text or CSV file) or paste it straight in. Your players then wait at the top of Members for you to check them and approve them all at once, or one by one. The Help centre walks you through your first ten minutes.

Which sports can use it?

Any grassroots sport. Football clubs come first, and every sport is welcome. If yours is not in the list on the form, choose Other and tell us which, and we add it to the list. Each club sets up its own membership types and prices.

Which countries do you cover?

Braidwood Sports is for clubs in England, Scotland, Wales and Northern Ireland, and every payment is in pounds. We cannot take clubs based in the Republic of Ireland yet.

Do members need to set up payment again?

Yes. Once your club approves them, each member sets up a card or a Direct Debit on Stripe’s secure page. Nothing from an old payment arrangement carries over, but if your list says which day each person pays, they keep that day: see Can we keep everyone’s payment day when we move over?

Can our club use its own logo and colours?

Yes. Upload your club logo and choose your club colours in Club settings, from 30 popular club colours such as red, claret, maroon, sky blue, navy, amber and old gold. Your main colour goes on the top bar and the menu of the app, on your join page and on My membership, with your logo beside your club name. A second colour, if you choose one, is the accent: a short bar under headings and along the top of the figures, and the stripe under each member’s header. Swap main and second turns them round. Buttons such as Approve and Pay stay green for every club, so they always mean the same thing, and every colour is checked to read clearly in light and dark. Anyone who prefers the standard Braidwood look can turn club colours off for themselves, under Club colours beside Theme. That only changes their own device.

We use another platform. How do we move over?

Download your member list from your old platform (most give you a spreadsheet), or use any list you have, even a photo. On Members, tap Import a list, attach or paste it, check the names and tap Approve all. Each member then gets a link to set up their card or Direct Debit, and you cancel their payments on the old platform. Every step is in Move over from another platform in the Help centre, and Quick help can answer anything else.

Can we keep everyone’s payment day when we move over?

Yes. If your players pay on set days on another platform, put each person’s day in your list, for example a column headed Payment day or Next payment, or a line like Aoife Hynes, 07700 900456, pays on the 25th. When you import the list, each person is given their own day. A day after the 28th becomes the 28th, and a person with no day pays on the 1st. You can change any of them before you approve.

Each person is first charged the next time their day comes round, so nobody is charged twice. If that is only a few days away, you see a warning so you can ask people to add their card first. Members still set up their own card, and you cancel their payments on the old platform. Later, a member can ask to change their day and you approve it.

Can we pause our club between seasons?

Yes. Set your season once under Club settings, then Seasons, and choose which membership types pause in the off-season. Members on those types stay on your list, nothing is charged for those months, and their payments restart on their usual payment day when the next season starts. Yearly memberships carry on all year. We email you before each change, and Seasons and the off-season answers the rest.

Joining and memberships

How do I join a club?

Ask your club for its Braidwood Sports link, which looks like /join/your-club. Choose a membership, add anyone you look after, pick a payment day and send your request. Nothing is charged when you send it.

When am I charged?

Not when you send the request. A club admin approves it first. Then we message you, on WhatsApp where you have agreed to it and otherwise by email, so you can set up payment, by card or Direct Debit, on Stripe’s secure page. Nothing is taken until you do.

Can I pay for someone else, such as my children?

Yes. You can sign up anyone you look after under your own login: your children, a friend, or a relative who does not use the internet. Each of them is a member in their own right, with their own membership, and you pay for them all from one login, by card or Direct Debit.

Example: I only want to pay for my two children. How does it work?

Sarah wants to pay for her children Aoife and Cian, and does not play herself. 1. She opens her club’s join link, enters her own name, mobile number and email, and ticks “I am not joining myself”. 2. She adds Aoife and Cian under “Add someone I look after” and picks a membership for each. 3. The club approves the request, and Sarah gets a message to set up payment on Stripe’s secure page, by card or Direct Debit. 4. From then on each child’s membership is paid that way on its own payment day. Aoife and Cian each appear on the club’s list as a member, shown as “Paid for by Sarah”; Sarah is only the person who pays, so she is not counted as a member and does not pay anything for herself. 5. Sarah signs in to My membership with a code sent to her email, where she sees both children, and can pause, change or cancel either one without affecting the other. A club can also record cash for either child if their payment is made that way.

Can I change, pause or cancel a membership?

Yes. You can ask for a change of membership type, pause, or cancel from My membership or WhatsApp. A change of type is a request your club’s admin approves. A pause stops collections until it is resumed. Some clubs approve each pause first: then your request waits for the club, and payments carry on until it says yes. A cancellation takes effect at the end of the period you have already paid for. Anything done on WhatsApp waits for a button tap to confirm.

Can a club pause a member?

Yes. An admin can pause someone who is injured or away. Collections stop, the person stays on the list, and the admin resumes them when they are back.

Can I belong to more than one club, or run more than one?

Yes. One email address can be a member of several clubs, and an admin can look after several clubs. When you sign in you choose which club to open, and the Switch club button at the top moves you between them at any time. Each club only ever sees its own members and payments.

Payments and fees

What does Braidwood Sports cost?

A club plan is £19 a month or £190 a year, which is two months free. Both include unlimited members. A fee of 3.4% + 20p on each payment, by card or Direct Debit, including Stripe’s fees, is paid by the club. That covers memberships and one-off payments. See the pricing page for a worked example.

How do we pay for our club plan, and what if a payment fails?

An Admin sets it up in Club settings, under Your Braidwood Sports plan, and pays on Stripe’s secure page. Each payment covers a whole month or a whole year, paid at the start, and no part of one is refunded, including when you pause, switch plan or cancel. While your whole club is paused nothing is taken, and the paid days you have left are kept for when it restarts. If a plan payment does not go through, your main admin is emailed a link to pay it, and until it is paid your Admins can open only the plan payment page. Your members are not affected: their payments, My membership, your join page and Last One Standing carry on.

Do members pay a fee on top?

No. A member pays exactly the price your club sets, for a membership or a one-off payment. The fee is taken from the payment your club receives. It is never added to what a member pays or shown to them as a surcharge.

How is the fee worked out?

It is 3.4% of each payment, by card or Direct Debit, worked out in whole pence and rounded to the nearest penny with halves going up, plus 20p. On a £30.00 membership the fee is £1.22 (£1.02 plus 20p), and the member pays exactly £30.00. Stripe’s own processing fee is covered by that fee, so it is not charged to the club on top.

How does the money reach our club?

Each payment goes through Stripe to your club’s connected Stripe account, and Stripe pays it out to your club under its standard payout arrangements.

How do members pay?

By card or by Direct Debit, through Stripe: each member chooses. Once the club approves them, a member sets up their card or Direct Debit once, on Stripe’s own secure page, and their membership is then paid automatically each period. They can switch later on My membership. On a phone or browser that has them, Apple Pay and Google Pay work for cards too, at no extra cost to anyone. Card payments start at £10.00, so a membership under that is paid by Direct Debit. A one-off payment, such as a match fee, is paid by card on Stripe’s page, and for a smaller amount the club records the cash.

Can members pay with Apple Pay or Google Pay?

Yes. Google Pay and Apple Pay are accepted on Stripe’s secure page, for memberships and one-off payments, on any phone or browser that has them set up. There is no extra cost to the member or the club: the same fee applies as for a card. Members who pay by card do not need to choose anything more: Stripe shows the buttons when they can be used, and a card works everywhere.

Do you support Direct Debit?

Yes. Members choose card or Direct Debit for their membership, and can switch later. A Direct Debit is set up on Stripe’s secure page with the member’s sort code and account number, takes up to 3 working days for the bank to set up, and is protected by the Direct Debit Guarantee. The fee is the same either way, paid by the club. One-off payments are paid by card.

What happens when a payment fails?

The club sees it straight away under Payments, with the reason. Your admins choose when to chase: one tap sends a friendly reminder by WhatsApp or, failing that, email, to one member or to everyone who owes. Nothing goes out automatically unless your club turns automatic reminders on, and then never more than once a week: when the payment fails, a week later and two weeks later. A failed payment never changes whether the person is a member.

What about refunds and disputes?

A club Admin can refund a payment. The member gets everything back, the refund comes out of the club’s balance, and the fee is not returned. The club also carries the cost of disputes and chargebacks on its own payments. Braidwood Sports pays them first and takes the amount back from what it would otherwise pay the club, and every amount is recorded in a statement the club can see.

Is there a member limit?

Members are unlimited on both plans, under fair use: a club that passes 1,000 members gets a quick check from our support team to make sure it is a real club and not spam, and keeps working while we check. A brand-new club that passes 100 members before we have checked it gets a quick check too, usually within one working day. It keeps adding members while we look. Nothing changes for a genuine club.

Can members pay cash?

A club admin can record cash for a member, for a membership or a one-off payment. For a membership it is recorded against a period. A club can also let people choose to pay in cash when they join through its join link. That is off until the club turns it on, the club still approves each request, and the club records every payment. Apart from that, members are not offered cash as a choice, except on a Cash only Pot, and cash cannot be refunded through Braidwood Sports.

Seasons and the off-season

What is a season, and what is the off-season?

A season is a start date and a number of monthly payments, so 10 payments from 1 August end on 31 May. The off-season is the gap until the next season, which can repeat every year by itself. Each membership type either pauses in the off-season or keeps going.

Will members be charged in the off-season?

Not if their membership type pauses. They stay members, nothing is charged for those months, and their payments restart on their usual day when the season starts. We email them 14 days and 7 days before, with their first payment date and amount, so nobody is surprised.

What does my club plan cost in the off-season?

If any membership type keeps going, your club plan carries on as normal. If every type pauses, the whole club pauses. On Monthly the club plan pauses too, so a club that pauses for 4 months pays for 8, and the paid days it had left are kept for when it resumes. Yearly is paid a year at a time and carries on: £190 a year is the same as 10 months on Monthly. When the club is paused, signing in shows one screen with a Resume button.

Can yearly memberships be paused?

No. A yearly membership is paid once a year, so there is nothing to pause, and it stays active all year.

What if a member leaves in the off-season?

Members cancel their own membership if they are leaving. We email your Admins two weeks and one week before a season restarts so they can check the list and remove anyone who has gone.

How many payments does a member make in a season?

The number of months the season runs: an 8 month season is 8 monthly payments. Someone who joins part-way pays for the months left, and the join page and My membership say how many before they commit.

What is the difference between removing a member and deleting their details?

Removing someone from the club ends their membership and stops their payments. Deleting their personal details also erases their name, email and mobile; payment records stay for the club's accounts, with no name on them. An Admin can do both in one go from Remove from club, with a tick box, and it cannot be undone.

Pots and one-off payments

What is a Pot?

A Pot is how your club asks members for a one-off payment, such as kit, a match fee, a trip or a Christmas dinner, and sees who has paid. Pots is the new name for one-off payments. It sits under Club features in the admin app, separate from memberships, so a Pot never changes anyone’s membership or its payment status.

Can our club collect match fees, kit or trip money?

Yes. Ask for a one-off payment from Money, and choose who it is for: everyone, a membership type, chosen people, or anyone who wants to. Share one link in your WhatsApp group. Members pay by card on Stripe’s secure page from £10, and smaller amounts are paid in cash and recorded by the club. The same fee applies and is paid by the club, not by your members. Nothing is sent to anyone unless an admin taps Remind. Raffles, lotteries and prize draws are not allowed.

How do I ask for a payment?

In the admin app, open Club features, then Pots, and tap Ask for a payment. Or start from one of six examples: Kit order, Match fee, Tournament entry, Away day or trip, Christmas dinner or Coaching course. On a phone, Pots has its own tab, or shares a Features tab with Last One Standing when both are in use.

What is Split a cost, and why does it round up?

A Pot is either one price for each person, or Split a cost. For Split a cost you enter the whole cost and how many people share it, and the app works out each share. Each share is rounded up to the next 10p, 50p or £1, so the club is never short. That means the shares can add up to a little more than the total.

Who can be asked to pay?

You choose: everyone who is active, a membership type, chosen people, or anyone who wants to. For the last one, people count themselves in from My membership.

How do members pay for a Pot?

By card on Stripe’s secure page, or in cash. Apple Pay and Google Pay work on a phone or browser that has them. Cards start at £10, so a share under £10 is paid in cash.

Can members pay a Pot in cash? What is Cash only?

Yes. A club can make a Pot Cash only: there is no card page at all, members are told to pay the club in cash, and an admin ticks people off as they pay. Cash is handed to the club, so it cannot be refunded through Braidwood Sports.

How do I tick someone off as paid in cash?

Each person still to pay has a Paid cash button. One tap records their whole share in cash for today, and you have 10 seconds to Undo. For a part payment or an earlier date, open More on their row and choose Record cash.

Who sees a Pot, and what do members see?

A member sees a Pot on My membership only if they are in it, and only what concerns them: its name, their share, whether they have paid, and a card button or a line saying to pay the club in cash. For a Pot open to anyone who wants to, they see Count me in. They never see the total, who else is in, or how many have paid.

Do members get reminders?

Nothing is sent automatically about a Pot. The only messages are the ones an admin taps: Remind on a person’s row, or Remind N for everyone still to pay, which waits 10 seconds with a Cancel button. A parent who pays for two children gets one message.

Who pays the card payment costs?

By default the club does. When a club splits a cost, it can choose to add card payment costs to each price instead. Members then see one price and nothing else.

When does our club get the money?

Each card payment goes through Stripe to your club’s connected Stripe account, so Braidwood Sports never holds it. An Admin pays it out to your club’s bank from Money when the club needs it, once in any 7 days, and money nobody has paid out for 60 days is paid out automatically. A brand new club’s first payouts can be delayed while Stripe checks a new account.

What is the difference between Close, Cancel and Cancel and refund?

Close stops a Pot taking payments and keeps the money: payments already made stay, cash can still be recorded, and an admin can reopen it. Cancel is only possible while nothing has been collected. Once money has been collected, use Cancel and refund.

What happens to card payment costs if we cancel and refund?

Warning: your club ends up with less than it collected. With Cancel and refund, members get every card payment back in full, but the card payment costs are not returned by Stripe or by Braidwood Sports, so the club bears them. The refund is taken from your club’s Stripe balance. The sheet shows this warning before anything is refunded, and nobody is messaged automatically, so tell your group.

What if our Stripe balance is short when we cancel and refund?

If the balance is short, for example just after a weekly payout, some refunds wait. The admin presses Cancel and refund again later. Nothing is paid twice.

What about cash we have already collected if we cancel?

Braidwood Sports cannot refund cash. The app lists who paid cash and how much, and the club hands that cash back itself.

Members and WhatsApp

Does Braidwood Sports have an app?

Not one you download from an app store, and you do not need one. Braidwood Sports works in the web browser on any phone, tablet or computer, and every screen was designed for a phone first. Members get their messages on WhatsApp and use their own My membership page. If you would like it on your home screen with its own icon, it takes about 30 seconds: see On your home screen in the Help centre. It always opens the latest version, so there are no updates to install.

Do members need an app?

No. There is nothing to install. Members get messages on WhatsApp and have a simple My membership web page to look at and manage their membership.

What can members do on WhatsApp?

They get their messages there, such as the link to set up payment and payment reminders, they can check their status, and they can pause, resume or cancel. Anything that changes a membership waits for a button tap, so a stray message never changes anything. Your club chooses how pauses work, on WhatsApp and My membership alike: straight away, only after an admin approves, or not at all. Cancelling is never held up.

Do members have to use WhatsApp?

WhatsApp messages go out if the member agrees when they join, and they can reply STOP at any time. If WhatsApp is not an option, a message goes by email instead.

Last One Standing

What is Last One Standing?

A weekly football predictions game your club can run for its members. Each round, every entry picks one team. If the team wins, the entry goes through. If it loses or draws, the entry is out. The last one standing is the winner. Each team can be used once, and the list resets after 20 rounds.

When do picks lock?

10 minutes before the first kick-off of the round. After that nobody can change a pick, whether they are an Admin or an LOS Manager. A draw knocks an entry out.

What does it cost?

Last One Standing costs £20 per game, paid by card, with no limit on the number of entries. The price unlocks the game software for your club: Braidwood Sports does not collect entry money, hold prize funds or take any share of what your club raises. Every club also gets one free game when it joins, on any plan, to use whenever you like. It is one per club, and it is not given again if a club closes and signs up again.

Does Braidwood Sports hold the money?

Braidwood Sports provides this tool solely for tracking fixtures and member predictions. Braidwood Sports does not facilitate, collect, or hold entry stakes or prize funds.

Is it part of memberships and payments?

No. It sits under Club features in the admin app, separate from memberships and payments, so nothing a game does changes a member’s status or payment, and the other way round. An LOS Manager can run the game and cannot see members or payments.

Can a member help run a game?

Yes. Club admins can already run Last One Standing, with nothing extra to set up. Add an LOS Manager only for a helper who should run the game and see nothing else. An admin can make any member an LOS Manager for a game, or for every game the club runs. An LOS Manager runs it from their own My membership page, with no second sign-in, and sees only Last One Standing, never members or payments. If they have an entry of their own, they see that too, and picks cannot be changed once a round has locked.

Your data and security

Who can see our members’ details?

Only the club’s admins, and Braidwood Sports staff when they are helping the club. We do not sell your details or use them for advertising. One club can never see another club’s data. Read the full privacy notice.

Where do card and bank details go?

Card and bank details are entered on Stripe’s own secure page and held by Stripe, not by Braidwood Sports or the club. We only see the last four digits.

What do you keep about members?

A name, a mobile number and, if given, an email address. For anyone a parent looks after, just their name. We never ask for a date of birth. Also the membership type, payment day, payments made or missed, and the messages we send. Details are kept for as long as someone is a member, and then only as long as the club needs them for its accounts.

Do I need a password?

No, and there is no password at all. Enter your email address and we email you a Sign in button and a six-digit code. Tap the button, or type the code if you would rather (handy when the email is on a different device). Each works once and runs out after 10 minutes, so there is nothing to remember, nothing to reset and no password that could be guessed or leaked. You stay signed in on your own phone or computer (30 days for club admins and 90 days for members, counted again each day you use it), and you can sign out everywhere at once from Account.

Ready to start?

Set up your club in a couple of minutes. It is ready as soon as you press the button.
