Your first ten minutes
Confirm your email
After you press Create my club, we email you a Confirm button and a six-digit code. Tap the button, or enter the code, to confirm your address: your club goes live straight away and you are signed in. Until then your join page stays switched off, so nobody can use a club in your name. No code? Check your junk folder, or ask for a new one on the sign-in page.
Sign in to your club
Go to Club login, enter your email address and choose Email me a code. We email you a Sign in button and a six-digit code. Tap the button, then Sign in, or type the code, and you are signed in. There is no password to remember. You stay signed in on that phone or computer for 30 days, counted again each day you use it. Lost a phone? Choose Account, then Sign out everywhere.
Approve the players you imported
If you sent a player list when you signed up, or pasted one later, a banner at the top of Members says how many people are waiting. Tap Review and approve, check each name, mobile and email, give them their membership (tick many at once to save time), then tap Approve all or approve them one by one. Nobody becomes a member, and nobody is sent anything, until you approve them.
Check your membership types
Go to Members and tap Membership types. Every club has at least one, for example Adult at £30 a month. Add a free one for coaches, volunteers or social members by setting the price to 0.
Connect your payment account
Go to Club settings, then Payment account, and follow the steps with Stripe. Card and Direct Debit payments reach your club once this is done. Until then you can still approve members and record cash.
When Stripe asks for your business type, in most cases choose Individual, with the details of the person who looks after the club’s money. Most grassroots clubs are not registered companies. Choose Company only if your club is registered at Companies House, or Non-profit if it is a registered charity or CASC, and have its number ready. Have the club’s bank details to hand too.
Stripe checks who you are. Stripe may ask for proof of identity, such as a photo ID or a bank statement, for the person who looks after the club’s money. That check is Stripe’s own, so only Stripe can complete or change it; we cannot do it for you. Most clubs finish it in one sitting, and it is quicker with your ID and bank details to hand.
If Stripe later needs more information, Payment account in Club settings says so, and some payments or payouts may be on hold until it is done. Tap Fix account details to go back to Stripe and finish it. For anything about the check itself, Stripe’s help site is support.stripe.com. Your club can still approve members and record cash in the meantime.
Share your join link
Go to Club settings, then Club details, and copy your join link. Send it to players and parents in your WhatsApp group or by email. They choose a membership and you approve them.
Invite another admin
Go to Admins and invite someone else from your committee. They sign in with their own email address, so nobody shares a login.
Set up your seasons
If your club takes a break between seasons, tell us once and we do the rest. On Club, tap Club settings, then Seasons, add your season, and choose which membership types pause in the off-season and which keep going. Paused members stay on your list, nothing is charged, and payments restart on their usual payment day when the next season starts. We email you before each change. Seasons and the off-season has all the detail.
Members
Add one member
On Members, tap Add member. Enter their name and a mobile or an email, choose a membership, and save. A member who pays online gets a link to set up payment, by card or Direct Debit.
Import a list
On Members, tap Import a list. Paste a list from a spreadsheet, a WhatsApp message or an email, or attach a Word, Excel, text or CSV file. A messy list, a PDF or a photo is read by AI: check those names carefully. The same list added twice, and people who are already members, are left out for you. Moving over from another platform? Put each person’s payment day in the list and they keep it: see Keep everyone’s payment day when you move over.
Give lots of people their membership at once
Put the membership on each line of your list, for example Aoife Hynes, 07700 900456, Junior, and it is set for you. Or tick the people (or Tick everyone), choose a membership and tap Apply. Each person can still be changed on their own row, and a count shows who is on what. Then tap Approve all.
Move over from another platform
You can bring your whole club across in one go, without anyone paying twice.
1. Get your list. Most platforms let you download your members as a spreadsheet (Excel or CSV). If yours does not, copy the list out of an email or a WhatsApp chat, or take a photo of a printout.
2. Keep everyone’s payment day. If your players pay on set days now, put each person’s day in the spreadsheet, in a column headed Payment day or Next payment. A list read from a photo or a PDF does not carry payment days, so set them when you check the list: see Keep everyone’s payment day when you move over.
3. Connect your payment account, if you have not yet: see Connect your payment account. You can still approve members before it is done.
4. Import and approve. On Members, tap Import a list and attach or paste it. Check the names, give each person their membership, then tap Approve all: see Import a list.
5. Members set up payment. Each member gets a link to set up their card or Direct Debit on Stripe’s secure page. Nothing from the old platform carries over. A person is first charged the next time their payment day comes round.
6. Stop the old payments. Once a member has set up payment here, cancel their payments on the old platform yourself, so nobody pays both.
Stuck at any step? Ask Quick help, at the bottom of the screen.
Keep everyone’s payment day when you move over
If your players already pay on set days on another platform, you can keep those days. Put each person’s day in your list: a column headed Payment day or Next payment (a day such as 25, or a date such as 25/11/2026), or words on the line, like pays on the 25th. Dates in other columns, such as birthdays, are never used.
On Check, each person’s day shows on their row, and you can change it by editing the row. On Type, a line says how many people have which day, and you can tick people and choose a day for all of them. Payment days run from the 1st to the 28th, so a day after the 28th becomes the 28th, and anyone without a day pays on the 1st.
On Confirm, you see when the first payments will be. A person is first charged the next time their day comes round, so nobody is charged twice: if someone paid on the 25th on the old platform and you import on the 26th, their first payment here is the 25th of next month. If a first payment is only a few days away, you get a warning. It never stops you approving, but ask those people to add their card first.
Members still set up their own card, and you cancel their payments on the old platform yourself. A list read from a photo or a PDF does not carry payment days, so set them on Type. After the move, a member can ask to change their payment day and you approve it.
Requests to join
People who use your join link wait on Overview under Requests to join. Tap Approve or Decline. If you tap Approve by mistake, tap Undo straight away.
Status and payment are separate
Each member has a Status (Active, Paused, Cancelled) and a Payment (Paid, Due, Setup needed, Failed). A failed payment never changes whether someone is a member.
Households
A parent can pay for their children. The children are members in their own right and show as Paid for by their parent. On the list they sit inside the parent’s row: tap the arrow to open it.
Members add the people they pay for themselves, from My membership. Anyone added on a paid membership is approved straight away and you get an email; a free membership waits for you under Requests to join. To approve everyone yourself, turn off Approve people added by members in Club settings, Club details.
Pause, cancel or remove
Open a member to pause them (no payments while paused), cancel them (from the end of the period they have paid for) or remove them from the club. Remove from club has a tick box to delete their personal details too.
Find and export
Search by name, mobile or email, and use Filter for status, payment or membership. Export CSV downloads the list you are looking at.
When members pause themselves
Members can pause from My membership or by WhatsApp. In Club settings, Club details, choose what happens: Straight away (the default: it happens at once and you get an email), Ask an Admin first (each pause waits under Changes on Overview for you to approve or decline, and payments carry on until then) or Off (members cannot pause themselves, and the WhatsApp chat makes no changes). Cancelling is never held up: members can always cancel at the end of the period they have paid for.
Membership types
Add a type
On Members, tap Membership types, then Add type. Give it a name, a price and how often members pay. Choose what it does in the off-season, whether members can pause it (not for a yearly type), and whether it shows on your join page.
Free memberships
Set the price to 0. A free member is never asked to set up payment and is never sent a payment link.
Change a price
A new price applies to new joiners only. Members already on the type keep their price until you change their membership.
Archive a type
Archiving hides a type from your join page. Members on it keep it. Every club keeps at least one type, so add the new one before archiving the last.
Seasons and the off-season
Set up your seasons
On Club, tap Club settings, then Seasons, then Add season. Type the day it starts as day, month, year (or tap the calendar). Then choose how long it lasts: a number of payments (we work out the last day, so 10 payments from 1 August 2027 end on 31 May 2028) or an end date. Leave Repeat every year ticked and next year's season is made for you. Tap Show me on the Seasons page for a quick tour.
What happens in the off-season
The off-season is the gap between one season and the next. Each membership type either pauses or keeps going. Members on a type that pauses stay on your list, marked Paused. Nothing is charged for those months, and their payments restart on their usual payment day when the next season starts. Yearly memberships always keep going: they are paid once a year, so there is nothing to pause.
Choose what pauses
On the Seasons page, tap Change what pauses. Pick Pauses or Keeps going for each membership type, for example Pauses for Adult and Junior and Keeps going for a free Coaches type. You can also set it on each type under Membership types. If you change it during the off-season it takes effect at once.
If every type pauses
Then your whole club is paused for the off-season. A Monthly Braidwood Sports club plan is paused with it; a Yearly one carries on, as it is paid a year at a time. When you sign in you see one screen with a Resume button, and nothing else until you resume. Resuming early restarts members' payments, and a Monthly club plan carries on from that day with the paid days it had left. Last One Standing carries on for your players meanwhile; to manage a game, resume the club. If any type keeps going, your club carries on as normal and your club plan carries on too.
The reminders we send
We email every Admin 14 days and 7 days before the off-season starts, and again before the season starts, saying what will pause and who to check. Paused members get an email 14 days and 7 days before they restart, with their first payment date and amount, and how to cancel if they are not coming back. A member who uses WhatsApp and has no email gets one WhatsApp message, a week before. Someone with both gets email only.
When members leave in the off-season
Members cancel their own membership if they are leaving. But anyone who has left and not cancelled would be charged again when the season restarts, so use the reminder emails to look through your list and remove anyone who has gone. Open the member and tap Remove from club. Tick Also delete their personal details if they have asked for that.
Joining part-way through a season
The join page and the member's own page say how many payments there are, for example "about 7 payments to 31 May 2028, the first on 14 Nov 2027 (£210.00 in all) if you stay". Someone who joins part-way pays for the months they are there, at your membership price and nothing more.
Payments
How members pay
By card or by Direct Debit: each member chooses, sets it up once on Stripe’s secure page, and can switch later on My membership. After that each payment is taken automatically. Card payments start at £10, so a membership under £10 is paid by Direct Debit. A Direct Debit takes up to 3 working days for the bank to set up. One-off payments, such as a match fee, are paid by card on Stripe’s secure page; a smaller one-off amount is collected in cash and you record it.
Apple Pay and Google Pay
Accepted. On Stripe’s secure page, a member whose phone or browser has Apple Pay or Google Pay set up sees its button above the card form and can pay with it instead of typing a card, for a membership or a one-off payment. It costs nothing extra: the same 3.4% + 20p fee as a card. A member paying by card does not have to choose anything more, and a card always works.
Record cash
Open the member, or go to Payments, and record the cash against the period it pays for.
If you let people choose to pay in cash on your join page (Club settings, then Club details, off until you turn it on), you still approve each request first. Each cash member is then set up to pay on the day they chose, with no card link, and you record every payment here.
Failed payments and reminders
A failed payment shows on Overview and Payments, with the reason. Send a reminder with one tap, or turn on automatic reminders in Club settings, under Payment Reminders. If someone pays for a household, they get one reminder with the total, not one for each person.
Refunds
Open the payment and tap Refund. The member gets the full amount back. The 3.4% + 20p fee is not returned.
The fee
Braidwood Sports takes 3.4% + 20p from each payment, by card or Direct Debit, memberships and one-off payments alike, including Stripe’s fees. Your club pays it. It is never added to what members pay.
Pots and one-off payments
What is a Pot?
A Pot is how your club asks members for a payment, such as kit, a match fee, a trip or a Christmas dinner, and sees who has paid. Pots is the new name for one-off payments.
Find it under Club features, then Pots. On a phone, Pots has its own tab, or shares a Features tab with Last One Standing when both are in use. A Pot never changes anyone’s membership or its payment status.
Ask for a one-off payment
Use this for a match fee, kit, a trip, an event or a Christmas dinner. Go to Club features, then Pots, and tap Ask for a payment. You can also start from the One-off payments card on Money, from Overview, or open a member and tap Ask this person for a payment.
On the Pots page you can also start from one of six examples: Kit order, Match fee, Tournament entry, Away day or trip, Christmas dinner or Coaching course.
Say what it is for (tap Match fee, Kit, Trip or Event, or type your own) and the amount each, in pounds. Then choose who: Everyone (active members), A membership type, Choose people, or Anyone who wants to. Add a due date and a note if you like, then tap Create request.
Card payments start at £10. Under £10 members are asked to pay the club in cash and you record it. Not for raffles, lotteries or prize draws. Creating a request sends nothing to anyone.
Split a cost
When you tap Ask for a payment, choose Split a cost instead of one price for each person. Enter the whole cost and how many people share it, and the app works out each share.
Each share is rounded up to the next 10p, 50p or £1, so the club is never short. The shares can add up to a little more than the total.
How members pay a Pot, and Cash only
Members pay by card on Stripe’s secure page (Apple Pay and Google Pay work too) or in cash. Cards start at £10, so a share under £10 is paid in cash.
For a Pot paid only in cash, choose Cash only when you ask for the payment. There is then no card page at all: members are told to pay the club in cash, and you tick them off as they pay.
Tick people off with Paid cash
On the Pot’s page, each person still to pay has a Paid cash button. One tap records their whole share in cash for today. A message offers Undo for 10 seconds if you tapped by mistake.
For a part payment or an earlier date, tap More on their row and choose Record cash, as in the next answer.
Record cash for a one-off payment
Open the request and tap Record cash on the person’s row. Check the amount and the date, then tap the button at the bottom, which reads for example Record £5 cash. You cannot record more than is still owed. Cash is never refunded through Braidwood Sports.
What members see
A member sees a Pot on My membership only if they are in it, and only what concerns them: the Pot’s name, their share, whether they have paid, and either a card button or a line saying to pay the club in cash. For a Pot open to anyone who wants to, they see Count me in.
They never see the total, who else is in, or how many have paid. A Pot they are not in does not appear.
Remind people who have not paid
Nothing is ever sent automatically. Open the request and, next to someone still to pay, tap Remind. Or tap Remind 5 who have not paid to message everyone still to pay who has not had a reminder today. You see a 10 second countdown with Cancel, and nothing is sent until it ends.
A parent paying for two children gets one message. It goes by WhatsApp, or by email if there is no WhatsApp number. Each person can be reminded once a day, and their row then says Reminded today.
Card payment costs
By default your club covers the card payment costs. When you split a cost, you can choose to add card payment costs to each price. Members then see one price and nothing else.
When your club is paid
Each card payment goes through Stripe to your club’s connected Stripe account, so Braidwood Sports never holds your club’s money. An Admin pays it out to your club’s bank from Money when the club needs it, once in any 7 days, and money nobody has paid out for 60 days is paid out automatically. A brand new club’s first payouts can be delayed while Stripe checks a new account.
Refund a one-off payment
Open the request, tap View payment on the person’s row, then tap Refund. The member gets the full amount back, or the part you choose, and the 3.4% + 20p fee is not returned. If a row says Paid twice, refund one of the payments. A cash payment cannot be refunded through Braidwood Sports.
Close or cancel a request
Open the request, tap More, then Close request. Nobody else can pay, anything already paid stays paid, and you can still record cash. Tap Reopen request to open it again.
Cancel request is only there while nothing has been collected. A cancelled request moves to Closed and cannot be opened again. To let one person off, tap More on their row and choose Not needed, or Take off this list if no money has been recorded.
Cancel and refund a Pot
If money has been collected, plain Cancel is not there. Open the Pot, tap More, then Cancel and refund. Members get every card payment back in full.
The sheet shows the warning in the next answer before anything is refunded.
Cancel and refund: card payment costs are not returned
Warning: your club ends up with less than it collected. Members get every card payment back in full, but the card payment costs are not returned by Stripe or by Braidwood Sports, so your club bears them. The refund is taken from your club’s Stripe balance.
Nobody is messaged automatically, so tell your group.
Cancel and refund: if your Stripe balance is short
If your club’s Stripe balance is short, for example just after a weekly payout, some refunds wait. Press Cancel and refund again later. Nothing is paid twice.
Cancel and refund: cash you have already collected
Braidwood Sports cannot refund cash. The app lists who paid cash and how much, and your club hands that cash back itself.
Admins and security
Admins and LOS Managers
An Admin can do everything. A LOS Manager runs Last One Standing only and never sees members or payments.
Extra checks on important actions
For a few important actions, such as adding an admin, we ask you to confirm with a fresh code from your email. This keeps your club safe if someone else picks up your phone.
Look after more than one club
One email can be an Admin of several clubs. Use Switch club to move between them. Each club only ever sees its own members and payments.
New clubs
When a club that has just signed up passes 100 members, we check it is a real club, usually within one working day. You can keep adding members while we look, and you see a short note when you do.
The main admin
One Admin is your club’s main admin, usually whoever set the club up. They are the only person who can cancel your club’s Braidwood Sports account. To hand the role to another Admin, the main admin goes to Club settings, then Main admin and cancelling. Everyone else sees those buttons greyed out, with the main admin’s name.
Removing an Admin needs two Admins
Removing an Admin, or making them an LOS Manager, is never one person’s decision. One Admin asks on the Admins page and a second Admin agrees. If your club has only two Admins, it happens after 7 days’ notice instead. Removing the main admin needs two other Admins and then 7 days’ notice. Every Admin gets an email at each step, and a request can be withdrawn until it happens. You can always step down yourself; the main admin hands the role on first.
Cancel your club’s Braidwood Sports account
Only the main admin can cancel, in Club settings, then Main admin and cancelling. Everything keeps working until the end of your plan month or year, so a club that paid for a year keeps it all year. Members’ payments stop straight away: each membership ends when the time it has paid for runs out, and nothing more is taken. Nobody new can join. On the end date the account closes by itself. Until then the main admin can press Keep the account to undo it. Refunds are up to your club: do any in Payments before the end date.
Emails from the club
Each Admin chooses which club emails they get, in Account, Emails from the club: requests to join, members’ own changes (a pause, restart or cancellation on WhatsApp or My membership) and the morning payments summary. The main Admin starts with all three on; other Admins start with them off and can turn on the ones they want. Security emails always come. Whatever anyone chooses, Overview shows all of it: requests and changes to approve at the top, and Recent changes for what members did themselves in the last 14 days.
Last One Standing
What it is
A football predictions game to raise funds. Each round, every entry picks one team. A win goes through. A loss or a draw is out. The last one standing wins.
Run a game
Open Last One Standing under Club features. Start a game, add entries, and picks follow the real fixtures. Picks lock 10 minutes before the first kick-off of the round.
The game link: players join and pick themselves
Every game has its own link. Tap Game link at the top of the game (it is also at the top of People) and share it in your club’s WhatsApp group.
A player enters their email and we send them a button that opens their picks, with no password. If they hold more than one entry, they pick for all of them at once. Someone new can join with the link until round 1 picks lock, with up to 10 entries. Their entries show as Not paid until you tick Paid.
If the link was shared somewhere it should not have been, choose Make a new link: the old one stops working at once.
Pick reminders by email
Off unless a club Admin turns them on for a game, under Rules. When on, players who still need a pick get one email the morning before picks lock, with a button to their picks.
What it costs
Your club’s first game is free. After that it is £20 a game, with no limit on entries. Braidwood Sports never holds entry money or prizes.
For members
Sign in to My membership
Go to My membership, enter the email address your club has for you, then tap Sign in in the email we send you, or type the six-digit code from it.
Set up or change how you pay
Use the link your club sent you, or open My membership and choose card or Direct Debit. You can change your card, change your bank account, or switch between the two there at any time. Card and bank details go to Stripe only.
Pause, change or cancel
From My membership you can pause, ask for a different membership, or cancel. A cancellation takes effect at the end of the period you have paid for.
Paying for your children
Your children are members in their own right. You see them all on My membership and choose how to pay for each one, by card or Direct Debit.
To add someone, sign in to My membership, tap Add someone, enter their name and choose their membership. A paid membership usually starts straight away and we send you the link to set up payment. A free one waits for your club to approve it.
More than one club
One email address can belong to several clubs. After you sign in, choose the club, and use Switch club to move between them.
Receipts
On My membership, choose Email me a receipt next to a payment. It goes to your own email address.
Wrong email or mobile
Ask your club admin to update it. Questions about training, fixtures or fees are for your club.
Pay a one-off payment
Sign in to My membership. If your club has asked you for something, such as a match fee, kit or a trip, it is listed under Payments to make, with who it is for and the due date. Tap the button, for example Pay £15.00 by card, then Continue to Stripe, and pay on Stripe’s secure page. You come back to My membership and it says Paid. Stripe emails you a receipt.
If you pay for your children, each one has their own line. Under £10 your club asks you to pay in cash and marks it paid. If it is not listed, ask your club to check you are on its list.
Count me in
For a trip or event that is open to anyone who wants to come, you see Count me in under Payments to make. Tap it, tick who it is for if you have children, and tap Count in. It then appears as a payment to make, and you pay it as above. Not now? Tap Not now.
On your home screen
Is there an app to download?
No, and you do not need one. Braidwood Sports runs in the web browser on any phone, tablet or computer. Add it to your home screen and it opens full screen with its own icon, just like an app, and it is always the latest version, with no updates to install.
Club admins add the club app. Members add My membership. Open the page and sign in, then follow the steps for your phone or computer below.
On an iPhone or iPad
- Open the page in Safari.
- Tap the Share button, a square with an arrow pointing up. On newer iPhones it is under the ⋯ button at the bottom of the screen.
- Scroll down and tap Add to Home Screen. If you see Open as Web App, leave it switched on.
- Tap Add. The Braidwood Sports icon appears on your home screen.
The icon keeps its own sign-in, separate from Safari, so sign in once more the first time you open it.
On an Android phone or tablet
- Open the page in Chrome.
- Tap the ⋮ menu at the top right.
- Tap Add to home screen. On some phones it says Install app.
- Tap Install or Add. The Braidwood Sports icon appears on your home screen.
Using Samsung Internet? Tap the menu, then Add page to, then Home screen.
On a Windows, Mac or Chromebook computer
Chrome: open the page and click the install icon at the right of the address bar. Or open the ⋮ menu, choose Cast, save and share, then Install page as app. If you only see Create shortcut, choose it and tick Open as window.
Microsoft Edge: open the ⋯ menu, choose Apps, then Install this site as an app.
Safari on a Mac: choose File, then Add to Dock. This needs macOS Sonoma or later.
Nothing matches that search. Try a shorter word, , or email support.
Still stuck?
Email us and a real person will help, usually the same working day.
